Managing Event Access: Collaborators & Volunteers

Manage who has access to your event. Competition Corner supports two access types — Volunteers for temporary event day roles, and Collaborators for staff managing the event before, during, and after.

Competition Corner allows you to share access to your event with your team. Depending on someone's role in your event, you can grant them access as either a Volunteer or a Collaborator — each with a different level of access suited to what they need to do.

Volunteers

Volunteer access is designed for people carrying out specific operational tasks during your event. Access is intentionally limited, temporary, and scoped to exactly what each volunteer needs to do their job.

How to Set Up Volunteer Access

  1. Go to Volunteer Access

  2. Set an Expiration Date — this is when the volunteer's access will automatically be disabled. We recommend setting this to the day after your event

  3. Select the appropriate access level (see below)

  4. Click Add

  5. A username and password will be auto-generated — share these credentials with your volunteer

Check-In Access

Volunteer access does not include event setup, registration data, financials, or any broader management functions. Access expires automatically on the date you set — no manual removal required.


Collaborators

Collaborator access is for staff members who are actively involved in managing your event — before, during, and after competition day. This is the right access level for anyone who needs to help set up, manage registrations, communicate with athletes, or oversee event logistics.

Collaborators are invited via email and must accept the invitation within 48 hours before it expires. Once accepted, they retain access until it expires or you explicitly remove them.

⚠️ Make sure you enter the correct email address when inviting a collaborator. Invitations grant real access to your event — double-check before sending.

How to Invite a Collaborator

  1. Go to Collaborators

  2. Click the Collaborating Organizers tab

  3. Click Invite and enter their email address

  4. Select the appropriate access level

  5. Set an Expiration Date if you want access to end automatically — useful for short-term engagements or contractors helping with a specific event

Refunds are exclusive to the Event Owner and cannot be granted to any collaborator regardless of access level.

Managing & Removing Collaborators

Collaborator access remains active until it either expires on the date you set or is manually removed. To remove a collaborator before their expiration date, go to Collaborators > Collaborating Organizers, locate the team member, and remove them from the list. Access is revoked immediately.

We recommend setting an expiration date for all collaborators as a best practice — even for long-term team members — so access is reviewed periodically rather than remaining open indefinitely.
